**Reminder** AGM Friday 09/11/2012

At the Extraordinary General Meeting on Friday 19th October 2012 a request was made for parents to assist with a wide range of voluntary roles within the club.

A number of parents have since come forward offering to fill Fundraising and Welfare related roles and their offer of assistance is greatly appreciated.

However, interest in other important roles at the club has not been so forthcoming.

It is therefore considered that the club cannot operate on the current number of parent volunteers helping out at the club and it has been decided that an Annual General Meeting will now be called to take place in Studio 2 (overlooking the pool) between 6pm and 7pm on Friday 9th November 2012.

The meeting will identify the current position of the club in relation to structure, staffing and finance from presentations by committee members after which there will be a vote for the following committee positions. (Further details of these roles can be found on the club web-site).

CHAIRPERSON
Responsible for the efficient functioning of the club, the implementation of good practice and child protection policies etc within the club.
 

SECRETARY
To ensure the smooth running of club and all administrative requirements

TREASURER
To produce and manage club accounts and monitor finances
 

MEMBERSHIP MANAGER
Responsible for all club membership matters.

WORKFORCE MANAGER
Co-ordinating the recruitment and organisation of all volunteers within the club, both gala and non gala volunteers.

COMPETITION MANAGER
Link with coaches to identify the galas squad members are to attend. Convey information to parents regarding galas. Collect gala applications and payment. Enter club applicants on appropriate gala entry systems. Arrange refunds for unsuccessful applicants.

WELFARE MANAGER
To be responsible for the receipt of internal complaints from Squad Managers, the implementation of good practice and child protection policies within the club

MARKETING MANAGER

To lead a small to promote and publicise all information about your club. Responsible for the Media Officer, Web-site, newsletter and School Liaison.

MEET MANAGER (Home Galas).
To lead a team responsible for the effective delivery of home galas.

FUNDRAISING MANAGER.
To lead a team to generate revenue within the club or at club events through means such as the club shop, book sales, football cards, collection of raffle prizes, bag packing and bucket collections etc.

SPONSORSHIP MANAGER.
To lead a team to proactively seek sponsorship from external sources and funding from grants.

It should be noted that the holders of the Executive Committee positions of Chairperson and Secretary and at least one other committee member must become directors of the City of Sunderland Amateur Swimming Club Community Interest Company. (Further details of this can be found in the Club Articles of Association on the club web-site). 

Members who wish to be considered for any of these positions (including the current post holders who wish to continue in their role) must inform the Club Secretary of their interest before 5pm on Thursday 8th November 2012 either in writing or by e-mail to the Executive Mailbox.

This application should state the post for which they are applying and have the details of two club members who are willing to propose and second the application. Applicants must attend the Annual General Meeting and, in the event of the post being contested, must be prepared to inform the membership why they should be elected to the post.

It should be noted that this vote will only apply to the above committee positions and that other volunteer roles at the club will not be affected by this process.

If the above positions are not filled at this AGM, then discussion about the future of the club will follow this voting process. (Members may wish to familiarise themselves with the Club Articles of Association which can be found on the club web-site, should we reach this position at the meeting, so that an informed discussion can take place).
